Customer Service and Administration Support at Adventure Expeditions 

JOB DESCRIPTION

Job Title:  Customer Service and Administration  Support

AE Grade: Supporting Role

Based at: AE Main Office, Hathersage

Reports to: Client Co-Ordinator

Responsibilities:  Administrative support for AE’s client team and accounts manager

 

OVERALL JOB PURPOSE

The overall purpose of this role is to provide administrative support to AE’s Client and Office Managers. The role will support our team in ensuring excellent planning, preparation and delivery of all our programmes. The post holder will regularly be the first point of contact for our clients and providing excellent customer service will be an essential part of the role.

 

CORE RESPONSIBILITIES

 

Client Communication

  • Serve as first point of contact, answering calls and managing emails;
  • Respond to enquiries and triage appropriately, escalating when needed in line with AE policies;
  • Build and maintain positive relationships with clients, stakeholders and partners;
  • Attend client meetings online, by phone and in person as required. 

 

Programme Administration

  • Book accommodation (campsites, bunkhouses) for programmes, maintaining accurate numbers and amending bookings;
  • Maintain the accommodation database in line with safeguarding and provider systems;
  • Process orders and confidential participant consent forms, flagging information requiring action;
  • Produce and process programme paperwork in line with GDPR best practice, including joining information, instructor documentation, feedback collation and archiving.

 

Finance and Data

  • Process invoices and enter data/receipts into AE's accounting software;
  • Update financial spreadsheets and follow up on outstanding payments.;
  • Work with spreadsheets and Google applications for data processing;
  • Process invoices and enter data/receipts into AE's accounting software.

 

Digital & Communications

  • Update website content and create course pages;
  • Manage social media accounts to promote AE programmes.

Team Support

  • Attend team meetings, taking minutes when required;
  • Provide cover for Client Management and Business Resourcing team members during absence;
  • Support operations team with kit and resource preparation as needed;
  • Assist with other business functions as they arise.

SUMMARY OF MAIN TERMS AND CONDITIONS

Contract term:

This is a permanent post.

 

Remuneration:

AE grade: Office/Logistics/Business Support

AE salary range: £25,570 - £26,500pa starting salary, pro rata per annum starting salary, dependent on experience. The salary is paid monthly in arrears by BACS transfer.

 

Hours of work

This is a full time (37.5 hrs), office based role, working 9:00 - 17:00.  AE is willing to discuss a 0.8 contract with shorter daily hours, however, please note that we require the Customer Service and Administration Support to be in the office Mondays through to Fridays.

 

Annual and Bank Holidays:

The holiday year runs from 1 December to 31 November each year. You will accrue an entitlement to paid annual holidays equivalent to 28 days during a complete holiday year. This entitlement includes bank and public holidays and is pro rata. Holidays must be taken in the holiday year of entitlement and may not be carried forward to the following year. Note that bank holidays are usually working days due to business needs. 

 

In addition, to the above, all staff receive paid leave during the AE Christmas shutdown period (typically 24th December to 2nd January each year). 

 

AE is willing to discuss periods of unpaid holiday leave with the post holder.

 

Pension:

The post-holder will be included in AE’s auto-enrolment scheme for pensions.

 

Sickness:

During periods of certified sickness the post-holder will be eligible to receive sick pay in accordance with AE’s sickness absence procedures. The payment of sick pay is subject to compliance with AE’s rules for the notification and verification of sickness absence, details of which will be provided to the successful applicant upon commencement of employment.

 

Probationary Period:

This post has a 6-month probationary period, during which your suitability for the post will be assessed.

 

Post Classification / Criminal Records Check Requirements

This post has been classified as being exempt from the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (as amended in 2013). Applicants will therefore be required to disclose any convictions, cautions, reprimands or final warnings which are NOT protected as defined under the Act, and the successful candidate will also be required to undertake an Enhanced DBS check for work with children.
