Expedition Manager at Venture Force Ltd  

  • Location: Fully Remote (applicants must be permanently resident in the UK)
  • Standard Working Hours - part-time: 0.6 FTE Monday to Thursday, either four shorter days or three standard-length days (SLD are 7 hours + an unpaid lunch break). A fixed pattern will be agreed, with some flexibility required to accommodate occasional evening presentations.
  • Additional Hours:  Duty Manager responsibilities are rostered during expedition periods, providing 24-hour on-call cover, with an additional on-call allowance payable.
  • Start Date: early April 2026
  • Salary: £26,500 to £27,300 pro rata (£15,900 to £16,380 per annum), depending on experience.
  • Contract Type: Permanent (following a 6-month probation)

 

About the Role

We are looking for an organised and proactive Expedition Manager to join our small, friendly team at Venture Force Ltd. You will take ownership of the planning phase for assigned expeditions, with a focus on coordinating in-country itineraries and logistics, and ensuring teams are well prepared, well supported, and ready to travel.

 

This is a fully remote, part-time position (0.6 FTE) with a Monday to Thursday working pattern. The role includes shared Duty Manager on-call responsibilities during expedition season, so occasional evening and weekend work will be required. Due to the operational nature of the role, annual leave is restricted during peak expedition periods, and there will not be capacity within the role for the post-holder to lead Venture Force expeditions.

 

You will work closely with our directors, administration team, operations colleagues, expedition leaders, and in-country agents. The successful candidate will be confident managing multiple moving parts, maintaining clear communication with schools and customers, delivering engaging presentations and briefings to expedition teams, and keeping planning records, budgets, and safety documentation accurate and up to date.

 

Key Responsibilities

  • Building and coordinating in-country itineraries, working closely with the Expedition Planning Director.
  • Managing the expedition build-up process and keeping tasks and timelines updated on internal planning records.
  • Managing safety planning for the expedition, in line with Venture Force risk assessments and policy.
  • Developing and maintaining relationships with in-country agents, third-party providers, and in-country staff.
  • Managing expedition budgets in collaboration with the Business Manager.
  • Completing medical screening in line with Venture Force policy and arranging medical briefings with our medical partners and expedition leaders.
  • Delivering kit evenings and final instructions presentations to expedition teams, either in person or virtually.
  • Planning and overseeing training days or weekends, with occasional in-person attendance, where required.
  • Responding to parent and customer enquiries escalated by the administration team.
  • Delivering leader briefings and supporting pre-departure risk and safety planning, including completion of BS 8848 processes.
  • Completing post-expedition assessment and contributing to continuous improvement.
  • On-call Duty Manager responsibilities in response to emergency situations raised by the Operations Room (training will be provided).
  • Attend occasional in-person Venture Force team meetings in the UK (expenses covered).

 

What We’re Looking For

Essential:

  • Experience planning and organising overseas travel in a professional context. 
  • Strong organisational skills, with confidence managing timelines, tasks and competing priorities.
  • Excellent written and verbal communication skills, with the ability to employ a clear, professional and friendly tone for schools, youth organisations, parents and young people.
  • Ability to build and maintain positive working relationships with in-country agents, suppliers and colleagues while working in a virtual office.
  • Confidence delivering online and in-person presentations or briefings to groups.
  • A calm, practical approach to problem solving, including when under time pressure.
  • Experience working with risk assessments and safety procedures, and applying them in planning or operational decisions.
  • Commitment to good customer service and to maintaining high safety standards.
  • Competent IT skills, including confident use of Microsoft 365 (Word, Excel, PowerPoint, Outlook and Teams).
  • Self-motivated and conscientious, with the ability to structure your own workload in a remote role.

Desirable:

  • Experience in adventure travel, outdoor education or youth development sectors.
  • Experience working with schools or educational establishments.
  • Experience planning training days, workshops or similar group activities for young people.
  • Familiarity with BS 8848 and risk management in an outdoor or travel context.   
  • First-hand experience of overseas expeditions or extended travel.
  • Experience working in an operations or control room environment, or providing on-call support for incidents.

 

The Practical Bits

  • You must have a suitable home working environment with reliable internet access and space for a permanent office set-up (laptop, external monitor, keyboard and mouse). IT equipment will be provided. 
  • You should have good, reliable mobile phone connectivity at your home location. A company mobile phone will be issued to the post-holder.
  • A full UK driving licence and access to a car that can be used for work-related travel (with appropriate insurance to cover occasional travel to meetings).
  • Travel within the UK will be required to meet with expedition teams. Expenses will be covered.
  • Interviews will be held remotely week commencing 9th February 2026 and will include delivering a short presentation to the panel.
  • Recruitment closing date is midnight, 25th January 2026.
